Who we are
Ultimate Freight Services is the freight and customs arm of Ultimate Transport Solutions, a New Zealand freight forwarding, customs brokerage and warehousing business based in Wiri, Auckland. In this policy, "we", "us" and "our" refer to Ultimate Freight Services. If you have any questions about how we handle your information, you can reach us using the details at the end of this page.
The information we collect
We collect personal information that you give us and information gathered as you use our site. This can include:
- Contact details such as your name, company, email address and phone number, when you request a quote, make an enquiry or contact us.
- Shipment and cargo details you provide so we can quote and carry out your freight, customs, transport or warehousing job.
- Correspondence, including the content of emails, phone calls and enquiry forms.
- Technical and usage information collected automatically, such as your device and browser type, pages viewed and referring links, through cookies and similar technologies (see the Cookies section below).
You do not have to give us personal information, but if you choose not to, we may be unable to provide a quote or carry out the service you are asking for.
How we use your information
We use personal information to:
- Respond to your enquiries and prepare quotes.
- Arrange, carry out and manage the freight, customs, transport and warehousing services you ask for.
- Prepare and lodge documentation with authorities such as the New Zealand Customs Service and the Ministry for Primary Industries.
- Communicate with you about your jobs and our services.
- Meet our legal, tax and regulatory obligations.
- Understand how our website is used and improve it.
Cookies and website analytics
Our website uses cookies. Cookies that are strictly necessary for the site to work are always on. For analytics, we use Google Analytics 4 to understand, in aggregate, how visitors use the site so we can improve it. Analytics cookies are only set after you accept them through the cookie banner, and you can decline or change your choice at any time.
Until you accept, analytics and advertising storage stays switched off through Google Consent Mode. You can also control cookies through your browser settings, and you can opt out of Google Analytics across all sites using Google's browser add-on.
When we share your information
Freight is a connected business, so to carry out your job we may share the information needed with:
- Shipping lines, airlines and coastal shipping operators.
- Overseas freight agents and partners in our worldwide network.
- Cartage, wharf and depot operators, and other subcontractors.
- Government agencies, including the New Zealand Customs Service and the Ministry for Primary Industries.
- Our professional advisers, insurers and IT, hosting and analytics providers, including Google.
We share only what is reasonably needed for the purpose, and we do not sell your personal information.
Sending information overseas
Because we move cargo internationally, we may disclose your information to parties outside New Zealand, such as overseas agents, carriers and the customs or biosecurity authorities of the destination country, so your shipment can be handled and cleared. We take reasonable steps to make sure your information is handled with protections comparable to those under New Zealand law.
How we store and protect your information
We take reasonable steps to keep personal information secure and to protect it from loss, misuse and unauthorised access, disclosure or alteration. This includes access controls and secure systems for the information we hold. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
How long we keep it
We keep personal information only for as long as we need it for the purposes described here, or for as long as we are required to keep it to meet legal and tax obligations, after which we take reasonable steps to delete or de-identify it.
Your rights: access and correction
Under the Privacy Act 2020 you have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it if it is wrong. To make a request, contact us using the details below. We may need to verify your identity first. There is normally no charge, and we will respond within the timeframes set by the Act.
